Administrative Assistant

This is a part-time position, averaging 5 hours/day (25 hours/week) in the Draper, UT office. Work hours can vary from 8:30 3:30 MT, Monday Friday.        

Reports To:  COO   

SUMMARY

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs.

 

The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. High-level written and verbal communication skills, strong decision making ability and attention to detail are equally important.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES for Administrative Assistant  include the following. Other areas of responsibility may be assigned as needed.

       Composes, prepares responses and types routine correspondence on behalf of Executives

       Organizes and maintains virtual file systems

       Organizes and maintains office supplies

       Answer phones and direct all incoming calls to appropriate party promptly and efficiently

       Coordinates schedules and makes appointments

       Coordinate project based work on behalf of Executive Team

       Arranges and coordinates Executive Team travel schedules and reservations

       Coordinates and arranges meetings and events

       Prepares agendas and records and transcribes minutes of meetings

       Responds to company Market Place inquiries

ESSENTIAL SKILLS & EXPERIENCE

  • Has bachelor's degree from four-year college or university, or equivalent combination of education and experience;
  • Has a minimum 4 years of relevant work experience as an administrative assistant;
  • Must be proficient in all Microsoft Office programs
  • Is highly motivated and able to work independently without physical supervision;
  • Demonstrates strong written and verbal communication skills;
  • Demonstrates excellent listening and problem-solving skills.
  • Possess knowledge of standard office administrative practices and procedures
